Inviting Team Members
Once your workspace is set up, you can invite your colleagues so they can log in to Manage Roster and access the schedule.
Who can do this?
Only Owners can invite and manage members in a workspace.
Members vs. Agents — What's the Difference?
Before inviting anyone, it helps to understand two separate concepts in Manage Roster:

In practice:
- An Agent is a roster profile — it has a name, shift pattern, and leave balances. You create agents to build the schedule.
- A Member is a login account — it's the person who signs in to view or manage those agents and schedules.
A member and an agent can represent the same person (e.g. a support rep who also logs in to check their own shifts), but they are set up separately in the app.
Example
You manage a team of 10 support reps. You add all 10 as Agents so their shifts show on the schedule. You then invite 2 team leads as Members with the Manager role so they can manage the schedule. The other 8 reps don't need to log in — they don't need to be Members.
Roles Explained
When you invite a member, you assign them a role that controls what they can do in the workspace.

| Manager | View and edit schedules, manage agents, leaves, holidays, and OT events. Cannot manage users or workspace settings. |
| Member | View the schedule and agent list. Submit OT requests and work reports. Cannot make any changes to the roster. |
Workspace Owner
The Owner role is automatically assigned to whoever creates the workspace. It cannot be assigned through the invite flow. Owners have full access including user management, workspace settings, and billing.
SaaS context
In the Manage Roster platform, Owner and Manager are workspace-level roles. The platform itself has a separate "Platform Admin" account used for managing all customer workspaces — that is a different level above these workspace roles.
Inviting a New Member
- In the left sidebar, click Users (or navigate to the Members section of your workspace).
- Click the Invite Member button.
- Enter the person's email address.
- Select their role: Manager or Member.
- Click Send Invite.
The person will receive an email with a link to join your workspace. Once they click the link and complete registration (or log in with an existing account), they'll have access to the workspace with the role you assigned.

Haven't received the invite?
Ask them to check their spam or junk folder. The invite email is sent from the Manage Roster platform.
Viewing the Member List
To see everyone who has access to your workspace:
- In the sidebar, go to Users.
- You'll see a list of all current members, including:
- Their name and email address
- Their role in this workspace (Owner / Manager / Member)
- When they joined

Changing a Member's Role
- Go to Users in the sidebar.
- Find the member you want to update and click the Edit or role toggle next to their name.
- Select the new role (Manager or Member).
- Save the change.
Owner role is protected
You cannot change the role of the workspace Owner. Their role is permanently set.
Removing a Member
If someone leaves the team or no longer needs access:
- Go to Users in the sidebar.
- Find the member you want to remove.
- Click the Remove button (or the three-dot menu next to their name).
- Confirm the action.
The person will immediately lose access to the workspace. Their agent profile (if they had one) will remain on the schedule — removing a member does not delete their agent.
Cannot remove the workspace Owner
The Owner cannot be removed from their workspace. If you need to transfer ownership, contact support.
